POSITION STANDARDS EDUCATION: High school graduate, two years of college or business school preferred. E! Must be capable of prioritizing and completing a high volume of requests quickly and efficiently in multiple roles. PROFESSIONAL AFFILIATIONS: Active participant in in-services, educational programs, and educational conferences. Exhibits membership in organizations relevant to professional growth. MINIMUM QUALIFICATIONS REQUIRED: Computer skills: basic word processing, data base management. Medical terminology and knowledge of surgical procedures essential. Strong, positive and flexible interpersonal skills delivered in a professional, confidential manner. Organized and efficient. Positive attitude, clear communication skills and able to handle numerous tasks at one time with good attention to detail. POSITION PHYSICAL REQUIREMENTS Anything listed here requires a pre-employment physical by Employee Health to determine if the employee is cap! able of meeting the requirements. This position requires light! lifting up to 20 lbs., walking, bending, sitting, etc. FUNCTIONAL RESPONSIBILITY Position Objective The Ambulatory Surgical Services Administrative Assistant is accountable and responsible for the collection and dissemination of patient data which encompasses the Operating and Procedure Rooms, Same Day Surgery and Post Anesthesia Care Unit and other related secretarial duties. Performance Expectation Clinical: Assists Ambulatory Surgical Services department to develop efficient systems to process patient data. Manages and maintains patient chart packtes and other forms used by Ambulatory Surgical Services, Birthing Center, ER and Med/Surg. Prepares patient chart with required paperwork and appropriate orders. Enters Pre-Op orders for labs, EKG and radiology. Communicates with Primary care providers and Surgeons for necessary pre-op workup. Files patient reports, flagging abnormal results. Notifies Clinical Leader/Charge Nurse or Anesthesia provider of abnormal testing data! and missing or outdated documentation. Strives for accuracy with patient records. Enters statistical data for Procedure room services, Nursing charges and acts as backup for Anesthesia charges, OR statistical dta and OR Charge entries. Assist with patient flow as needed, from the waiting area to Pre-Op and with patient discharge from PACU to the patient/family transportation home. Interpersonal: Coordinates Etime (payroll system) and manages Same Day/PACU employees' timesheets, maintains file for weekly assignment record for payroll department. Assist the Clinical Leader with preparation of agendas and meeting minutes for monthly staff meeting. Manages telephone communications in Same Day office. Distributes interoffice and external mail. Maintains office supplies and enters Orders for Materials Management. Provides backup support for medical supplies orders. Provides copier, fax and printer support for department. Communicates effectively with peers, volunteers and other ! health care professionals, patients and families. Remains calm and effe! ctive in stressful situations. Uses conflict resolution skills. Demonstrates effective problem solving. Uses a customer focus in all interactions. Works collaboratively with other departments. Other duties as required.
